Licensing a vocational school, from first application to state approval

A certificate is a promise. A license is someone checking that you kept it.

Ohio · e-learning school offering Ayurveda, coaching, meditation, and yoga certifications

The problem

An online wellness school wanted its certifications to mean something beyond its own brand, which meant becoming a state-licensed vocational school. Licensing brings obligations most learning teams have never met: enrollment agreements with exact cost breakdowns at the moment of enrollment, student records that survive an audit, graduation criteria you can prove, and program pages that say who reviewed what and when.

What we did

We took the school from the first application through state approval. We built the enrollment-agreement process (per learner, per cohort, with sales able to adjust pricing) and the student-records system behind it, designed the audit pack a state board actually wants (one coversheet per student, the agreement, live attendance, practical assessments, and nothing the LMS already proves), and added expert-review trust blocks with named faculty reviewers to the five program pages an SEO audit flagged.

The outcome

The school is licensed by the State of Ohio and operating under that license. On the first records reconciliation, 23 students who had been marked graduated were correctly moved back to active because one of the two required signals was missing: the system catching what a spreadsheet would have missed.

The organization wanted its programs to mean something beyond its own brand. That meant becoming a state-licensed school: enrollment agreements with exact cost breakdowns sent at the moment of enrollment, student records that could survive an audit, graduation criteria that are provable, and program pages that say who reviewed what and when.

  • Built the enrollment agreement process (per-learner, per-cohort, with sales able to adjust pricing) and the student records system behind it.
  • Designed the audit pack a state board actually wants: one coversheet per student, agreement PDF, live attendance, practical assessments, nothing the LMS already proves.
  • On the first reconciliation run, 23 students who had been marked graduated were correctly moved back to active because one of the two required signals was missing. That's the system working.
  • Added expert-review trust blocks (created by, reviewed by, evidence base, scope of practice, last reviewed) to the five program pages an seo/ymyl audit flagged, with named faculty reviewers.
